Healthcare facilities experiencing difficulties with the Social Health Authority's (SHA) e-contracting process have been invited to attend support clinics scheduled across the country from October 8 to October 14, 2026.
The clinics are intended to help providers resolve technical and administrative challenges affecting their applications, access to the SHA portal and completion of contracting requirements.
In a public notice issued on October 9, SHA Chief Executive Officer Dr Mercy Mwangangi said the Hakika Provider Contracting Clinics would offer support on application submission, portal access, documentation, Know Your Customer (KYC) procedures, benefits selection, and contract review and signing.
According to the notice, the clinics will be conducted at all SHA county headquarters from Thursday, October 8, through Tuesday, October 13, with Sunday, October 11, excluded from the schedule.
Providers in Nairobi will be served at the SHA Auditorium from Monday, October 12, to Wednesday, October 14.
SHA has advised healthcare facilities to prepare adequately before attending the sessions to ensure that their contracting issues can be addressed efficiently.
Each facility should bring a laptop or tablet, a charger and soft copies of the relevant contracting documents.
Among the key documents required are a facility registration certificate from the relevant regulator, a current operating licence, business or organisational registration documents where applicable, a KRA PIN certificate and a valid tax compliance certificate.
Facilities should also carry SHA compliance certificates or supporting records, NSSF compliance certificates, current professional licences for the facility superintendent and relevant healthcare workers, and professional and facility indemnity cover documents where applicable.
Other requirements include fire safety compliance certificates, NCPWD compliance certificates, NEMA licences or relevant environmental compliance documentation, and registration certificates from the Office of the Data Protection Commissioner.
Healthcare providers offering specialised services may also need to present laboratory and pharmacy registration and operating licences, National Cancer Institute accreditation where applicable, and equipment licences and authorisations, including documentation from the Kenya Nuclear Regulatory Authority where required.
SHA has further listed bank account confirmation documents bearing the registered facility name and identification and authorisation documents for representatives or contract signatories among the requirements.
Facilities must also provide details of the services, benefits and interventions they offer.
Providers whose applications have stalled or who are encountering difficulties accessing the contracting portal have been asked to bring screenshots and details of the challenges for assessment.
They should ensure they can access their registered email addresses and telephone numbers to facilitate verification.
SHA says facilities with incomplete documentation may still attend the clinics with the available documents and information on pending applications to obtain guidance on the outstanding requirements.
The authority has directed healthcare providers to contact their respective county offices for venue details and further assistance.
The initiative provides an opportunity for facilities to seek clarification on contracting requirements, address application-related challenges and receive guidance on completing the process.
Important scheduling note: The notice is dated October 9, but the clinics begin on October 8.
The first date has therefore already passed, while the Nairobi sessions and the remaining county sessions are scheduled to continue through October 14, subject to the published timetable.
